use of a video at a conference

this is for an event in New York State

we are compiling video clips to use at an upcoming conference. we are seeking clips that have to do with the themes of the conference, as filler pieces between sessions. We are not advertising which clips we will be shoeing, or for that matter that there will be any videos showing. its just a filler piece while we set up the next speaker. We are finding clips on YouTube, and have asked permission from the person uploading the clip for using at the conference. We think of these almost as background music- just that it happens to be a video.

we came across one which was produced for a network, and directed by a big time Hollywood director. it was first shown (on TV) 10+ years ago (literally 10 1/2 yrs ago) as part of a fundraising event, and we found out is also available on DVD.

if we are showing it only as filler, not talking during it, commenting on it, editing or otherwise manipulating it- do we need to get permission from the network or director of the video to show it? i wouldn't even know where to begin to ask for the right to use the clip!

Most video copyrights can also extend to restrictions on public presentation- regardless of the bolded segment above- which you would be in violation, unless you had contacted the rights holder.

So, to answer your question, yes.

I recommend you perform what is known as 'research'. You seem to have 3- solid directions of contact you can look into.
